A new NSN is required for any Item of Supply if it is new to the Defence inventory and is a different Form, Fit and Function from any other existing Item of Supply
The NSN is a 13-digit number which is divided into 3 parts:

- The first 4 digits are the NATO Supply and Classification Code and relate the item to the Group and Class of similar items.
- The next 2 digits identify the NCB which assigns the NSN.
- The final 7 digits do not have any inherent significance. However the number is assigned to only one Item of Supply within the codifying country.
Form – the shape, size, dimensions, mass, weight and other characteristics that uniquely distinguish a part
Fit – the ability of a part to physically interface with, connect to, or become an integral part of another part
Function – the action or actions that a part is designed to perform.
Any Manufacturer, Producer or Supplier of Goods and Services to the QAF is required to have a valid and up-to-date NCAGE (NATO Commercial and Government Entity) code. The NCAGE identifies the manufacturer, seller or service provider of individual items.

Manufacturers and suppliers have a vital role to play in ensuring that all the necessary technical data on an item is provided as early as possible. They have full access to the range of required data about an item which is necessary for Codifiers to accurately describe, name and allocate a correct NSN to all materiel.
The technical data should include:
- The main contractor’s own reference number (i.e. part number or drawing number)
- Where the item to be codified is manufactured by another company and / or supplied under a sub-contract, the original manufacturer’s name, address and their own reference number for the item
- All known NATO Stock Numbers previously allocated
- Any relevant Standard or Specification
- Any information relating to the ‘Form, Fit or Function’ or the physical and operational characteristics of the item.
- Any additional quality assurance specifications, requirements or accreditation.
- Any proprietary design rights, if known, and any restrictions on use of the data.
- Packaging information – size (length, width and depth) and weight of packaged and unpackaged item, unit of issue.
- Information to be included on any proposed label / barcode to be attached to the product.
- Photograph of the deliverable items.
- This technical data should be provided in the form of hard copy (or electronic access) of engineering drawings specifications, technical manuals, catalogues, brochures or similar documentation.
